Microsoft Access Forum

Welcome to the Microsoft Access Forum. Access is by far our most popular topic here at Computer Learning Zone. This forum is for everyone to read but only students (paid customers) can post here. If you'd like to become a student, all you have to do is enroll in one of my courses. After you create a logon, you will have full access to the Forums.

Subscribe to this forum and receive an email update whenever new posts are added. You will also be notified by email if any conversations you are involved in receieve new comments. Yes, even non-students can subscribe to update notifications.

Having problems with your Access database? Before posting your question, check to see if it's already been answered. You can use the Search feature to look for keywords. There's also the Access Troubleshooting Checklist which covers solutions to many common problems. If neither of those things help, make sure you post exactly what you're doing, what the specific error message is, what you've tried, and any other details we might need to help you. Don't just say, "I get an error." Tell us what the error is and what you're doing. We're not mind readers. I wish. LOL

Two Customers Same Table Link
Ron Fischer
Richard is it possible to have a two customers be part of the same table to have parent / child relation and vice versa? Or does this need some programming?
Richard Rost
Sure. Pretty much anything is possible. You could have two CustomerID foreign keys for something like a contact or an order. You could also have a many-to-many relationship and have an unlimited number of customers associated with a record. However, if you're talking about parent/child relationships, you probably want a self join which I cover in the Relationship Seminar. See this TechHelp video for an idea.

Copy Command Buttons Link
Julian Dyer

I have multiple forms and have created a button on one form which for argument sake is "Close Form".  This button would in effect be displayed on every form I build.  Can I use the same button, "named:  'closeformbutton'" on every form, or do I have to create a new button called 'closeformbutton1' , 'closeformbutton2' and so on... You can copy the buttons from form to form IF you use embedded macros (what the wizards create) in them. Otherwise, if they're VBA based, you'll have to copy the VBA code as well.

Error With Attachments Link
Thomas Corbett

First and foremost I found the email seminar to be spectacular!!! Within an access form I store a file (report) as an attachment. Now, having created a button and assigning vb for mailing with outlook I was able to set up the To:, CC:, BCC:, Subject and Message taking fields from my form (All of it works just fine.) However, when I try to attach a file from my form using osmg.attachements = me.(Field that holds the file) I receive an error which I cannot get around. Can you help? :) Read More...

Thanks for the compliment. That was one of my favorite seminars to record. What's the exact error message? What's the exact code you're using?

Access 2019 v 365 Link

Richard,

I'm trying to install Office on my laptop. I uninstalled the default office app that came with windows and tried installing the version I have on my desktop, (2019) and it automatically defaulted to Office 365, which I refuse to pay for. Read More...

That all depends on what you paid for. If you paid for the standalone Office 2019 then you should be able to install that. If you paid for a 365 subscription, then that's what should install. Microsoft doesn't FORCE you into either. If you don't want a monthly subscription payment, then buy the full Office 2019 and pay once. Personally I prefer the subscription, but to each his own. It's the same software, for the most part.

I have Office Professional Plus on my desktop, but can't figure out how to get the entire setup file onto the laptop so I can install it there.

Question About AutoNumbers Link
Roy Zanca
If you have a db for you CD collection with autonumber as the as the primary key and want to remove the CD in row 10, remove, NOT DELETE, I know one should never delete but remove the title of the CD, could you copy and paste the title from the  bottom of the list and past it in row 10, saving row with a new CD title? Is there any down side to that procedure? Read More...
Richard Rost

I wouldn't re-use it. Just mark the CD inactive and keep going. The AutoNumber is only used internally. You shouldn't care what that number is for anything except making relationships in your database.

Hello Richard

I am writing to you as I think I have found another tech help video which will do what you said that you would make me are tech help video on how to hide the items in our combo switch are no longer available/products no longer available Read More...
Richard Rost

Yep. That's the video that should help you with your problem. If you mark products inactive and hide them from your combo boxes, that will NOT take them out of the previous orders. You got it.

Store Notes in Access Link
John Davy

One of the issues that I and I suspect many others have is finding the right code when I need it. SO, I need a Personal Code Vault where I can store and find  my code (like your great system). I now use OneNote for much of my code but what can you offer us with a great video on how to make our own personal Code Vault?  Thanks  John Davy

I would simply make a table to store your code, notes, and anything else. You can make sub-items (basically folders) for each item too. This would be a self-join like I show in the Relationship or Genealogy Seminars. I was going to add a hierarchal notepad like this to the ABCD as a module. Stay tuned.

Send Emails on Specific Dates Link

A Very Good Afternoon Richard,

I am nearing the end of my SQL Seminar and getting great stuff from all of the methods. This Access sure is a bottomless pit! Im in a bit of a quandary now as to my next project, I have a database which records Mandatory Learning dates of work colleagues, the courses have to be re-taken every one, two or three years and so on. This is screaming out for a reminder e-mail (say thirty days before a person is out of compliance and when the date has expired  these dates colour amber [30days] and red [when out of compliance] using an If Statement) to the individual and their line manager. Would your e-mail seminar cover triggering said e-mails based on a date? Read More...

The DateTime Seminar covers popups and reminders, check the outline for more info.
John McFarlane

Thank you for the guidance Alex. However, I am thinking that when a user enters the database [the programme could remain unopened for a period of time] an e-mail could be triggered to go to anyone of some fifty employees to notify the learning is becoming due to be re-takem and the same reminder to their line manager. The DateTime Seminar does not appear to do this?

Access VBA Window Timer Link
John McFarlane

When I am in my VBA editor inserting a DIM statement sometimes the DIM is coloured red and the cursor will jump back to DIM when I press the space bar. I end up with DIM| or DIMSas|, I tried Richards recent Search Tech Help and was trying to set the variable Dim s as String. When I try Compile in the Debug the window points to a syntax error. Ive had this in other databases but cant put my finger on it  any ideas anyone?

Do you have Option Explicit at the top?
Are you clicking off the line after typing Dim, in older versions youd have to complete a valid line before moving to another or it would complain.
John McFarlane

No, there is no Option Explicit at the top, I'm using Access 2019.

Query Criteria Link
Arthur Reynolds

Hello, Am trying to do a query criteria on a lookup field, and the system keeps showing an error message, Data type mismatch in criteria expression. I have checked the spelling. The only reason I come up with is because the field is a lookup. Is there away around this? Read More...

Can you share the SQL that the query produces?
I dont tend to use LOOKUPS, there might be a issue of instead of it being a number its a string so youd need to wrap the value in single quotes.
Richard Rost

Arthur emailed me his SQL. It looks like this:

SELECT Customer_tbl.BusinessName, Enquiry_tbl.Site, Enquiry_tbl.EnquiryDate, Enquiry_tbl.EnquiryNumber, Quote_tbl.QuoteNumber, Quote_tbl.QuoteDate, Quote_tbl.QuoteConclusion, [Quotedate] 30 AS QuoteExpiryDate, Date()-[QuoteDate] AS DaysFromQuote
FROM ((Enquiry_tbl INNER JOIN Quote_tbl ON Enquiry_tbl.EnqID = Quote_tbl.EnquiryNumber) INNER JOIN Customer_tbl ON Enquiry_tbl.CustID = Customer_tbl.CustID) INNER JOIN CompanySiteName_tbl ON Enquiry_tbl.Site = CompanySiteName_tbl.SiteID
WHERE (((Quote_tbl.QuoteConclusion)="Pending"))
ORDER BY Customer_tbl.BusinessName, Date()-[QuoteDate] DESC;

I wouldn't put any kind of calculations in your ORDER BY, like Date()-QuoteDate. Try getting rid of that. I'd start there.
