Sum Totals incorrect Upload Images   Link   Email

Richard, recently I emailed you about a problem getting the wrong totals in my reports are queries. I have a payroll database with dates, names, total check and a breakdown of the Federal and State taxes. I want to calculate the separate taxes either in a footer or in a query. I think I figured out my issue. Some of the tax fields are calculated and I've been trying to get the sum of the calculated fields. The totals are off by a few cents in every calculated total. I'm trying to group the totals by month to add the total taxes paid that month.
So I tested my database by entering the total taxes due manually in each record and then totaled them. They all came out correct. So how do I calculate(=Sum) a calculated field?

I would guess your problem is your calculated field isnt rounded to 2 decimals. So calculated numbers with the extra decimals are adding up over a penny along the way.

Thank you for your help BUT this doesn't address my problem.
#1 I do have the decimals set on 2
#2 I need the exact totals for tax purposes.
When calculating a column of 4 rows of $18.54 I get $74.15.
When calculating a column of 4 rows of $4.34 I get $17.34.
The more rows in the column the worst it gets.

If you actually click into the text field. Does it show only two decimals, or does it change to the real stored longer number?

Again, Thank you for getting back to me so soon. When clicking on the text field it does show a longer number.

So that is your problem. The values stored are what are being added, not the visual displayed two decimal points. So the extra beyond the first 2 decimals add up to over a penny every once in a while and throw the numbers off.

I'm guessing you have a calculation in a query that does the calculation, and then you have the format of the fields set to 2 decimals in the form?

Thank you again for your quick response. You are correct, that was my problem but I didn't know how to correct it.
I had to purchase that lesson but it was worth it. It solved my problem. I was also able to make it work in a report.
