Sample Database

If you'd like to download a sample copy of the database template, you can do so here. This is a non-editable ACCDE version of the template which will let you see it work in action. You can switch between the different form profiles that I have designed, but you cannot change them, or access the design of the forms, reports, VBA, etc. The sample database requires 64-bit Access 2013 or higher. If you're still using 32-bit Office, read this. Be sure to watch the Introduction and Feature Walk-Thru videos (above) to see how to use it.

Introducing the Form Profile Template brought to you by Access Learning Zone. My name is Richard Rost. Do you want to make it easy for users with different screen sizes to be able to work with your database? This template allows you to set up custom profiles. You can set up special color options, different visible controls, and lots more. This template takes the existing forms in your database and allows you to save and load different versions of them. All the template does is modify the properties of your form and the controls in them. For example, here you see four different profiles for the same standard customer list.

A normal version in both blue and purple on the left, the green cell phone layout in the middle. That's great for remote users who maybe use it on their phones or their tablet devices logged in. And the big red one over on the right is for the power user. With that huge monitor on its desk. Again, this is the same form. So you only have to make design changes to one form. You only have one set of VBA code to worry. You just save multiple profiles for each form.

Here's a different form. The customer form, you see a black and white high contrast version in the upper left, below that a regular blue version. And below that one, a purple version, same form, different profiles. Here it's just different colors.

Some users like to make their own color palette changes, or if their hard of seeing they might want the high contrast version. Or you could have a manager version in purple that shows things like the credit limit and the blue version. For example, for the normal sales people, doesn't show that there's the little green cell phone version on the bottom. And to save space, you can show or hide different fields on each profile, if you want to. And finally up top is the big monster red version for the person with a huge monitor. You can either make the fields bigger. So they're easier to read or just cram a lot more stuff on each screen. The choice is yours.

There's a profile editor form, for the database administrator here. You can make design changes to the form and save them as a particular form profile. Then you switch profiles, load up that. And do it all over again, make as many profiles as you like.

You can allow the user to select which profile they want when the database loads, or you can set a default profile in the settings table.

If you prefer, you can also control which profile loads up by preparing a custom shortcut for each user. The choice is yours.

This template also includes my zoom tool. So if all you want to be able to do is make your forms bigger or smaller by zooming in and out, you can do that as well, without having to set up a custom profile.

Before You Purchase

A few important notes before you purchase this template:

  • Please note that this is NOT a teaching database. You should have a strong background in developing Microsoft Access applications before attempting to setup this template with your database. You don't have to be an expert with Visual Basic, but you should know a little VBA. I strongly recommend taking my Access Developer 1 course first or at a bare minimum watching my Intro to VBA video. 
  • In order for this template to work properly, you must follow the instructions in the User Guide video (#03, above). I have written some of them out below, but be sure to watch the video and follow it carefully so that everything works OK in your database. If you post a comment saying that it's not working, and you didn't follow the steps, I'm going to say "I told you so."
  • Backup. Backup. Backup again! Be sure to test this on a backup copy of your database first!
  • This template will only work with forms that have zero or one subform controls. Forms with two or more subforms are not supported. Yet. If there is enough interest, I can add that in the next version.
  • Remember, we do our best to help you here in the Forums on the website, but technical support is not guaranteed.

Not a Finished Product

Please keep in mind that most of my template databases are not designed to be finished products that are ready to go in a working environment. My templates are meant as starting points for you to customize for yourself so you don't have to reinvent the wheel. This requires that you have a basic understanding of Microsoft Access development. To work on most of my databases you should have completed my Access Beginner series and the first couple levels of my Expert series at a minimum. Most of my databases require knowledge of SQL and VBA as well. Keep in mind that most of my templates are not like off-the-shelf software. They're starting points for developers to be able to modify and use as their own. It really is going to be in your benefit to watch all of the prerequisite videos so you understand the database and how it works moving forward. This is not like QuickBooks where you just install it and use it. My templates are mostly designed for people who already have an understanding of how Microsoft Access works.
