Prevent Double Booking
Christopher Ordner

I am a new member seeking assistance with a Microsoft Access solution for scheduling training events over an extended period, while managing a limited number of crew members and equipment. Each event will have specific requirements regarding the necessary crew and equipment. Upon receiving requests for future events, I need to ensure there are no conflicts, such as double bookings of assigned crew and equipment within the specified date range (from event start date to event end date). Given that each event requires multiple crew members and several pieces of equipment, it is essential to have the capability to assign more than one crew member and multiple pieces of equipment to each event.
Ideally, I would like to have a form that permits the selection of equipment and crew members for available date ranges, ensuring they are not already assigned to other events. Additionally, I would need to generate reports displaying events along with their assigned crew members and equipment in a calendar format.

You've got your hands full for sure. First, how good are you with VBA? Behind a lot of code you're going to need a few many-to-many tables. At least one for staff, one for equipment and a somewhat complicated mix of many-to-many tables to handle dates and event assignments. Then you can use code to create combo boxes that have a source created in VBA for picking the staff and equipment for events based on availability. Make sense?

Buckle in because this is going to take you for a ride. It's definitely possible, and I've got several videos that cover how to do it. I would recommend starting with my Appointments video. There are a couple of extended cuts, and the gold member video extended cut teaches you conflict resolution, so checking to make sure when you put an appointment in the system there isn't already another appointment booked in that time slot. You would just have to apply the same logic to everything about your booking - your crew, your equipment, etc.

If you want to go into it even deeper, in Access Developer 24, I build a more full-fledged reservation system that does a lot of the same stuff, including conflict resolution. Access Developer 24
