Adding generic text to a form

Question: how do I add generic, narrative text to a form?

I'm building a DB to track training engagements. For each engagement we sent a Training Confirmation via email. I learned a lot in the Letter Writer vid and am wondering if I can simplify even further. Our Confirmation email consists of a generic 2-sentence paragraph (same on every email), the details of the training (fields in the DB), and another generic 2-sentence paragraph.

I'm hoping to build a TrainingConfirmationF and a query to generate and send the email, rather than create a Contact record for each training and duplicate the generic paragraphs.

Possible?  Thanks! I've learned so much from your vids!

Hi Susan. On behalf of Rick, thanks for your kind words.

To add generic text, just use the label command on the form design tab. To my knowledge, there is no limitation on how much Text can go into a label and it can be formatted same way a rich text document can

Alternatively, you could create a long text field in your table and put your text in the default property (personally, i like to add a field on to the form, link the control source to the long text field on your table, then set the default on that box in the form rather than set default on the table but you can do it either way).

Dan - There actually is a limit.  2,048 characters for a label.

For a Label, you can do some formatting (font, size, bolding, color, etc.) but you can't set it as Rich Text like in a Text Box.  All of the text in a Label has the same attributes.  You couldn't just bold one word in a Label for instance.

Thanks Dan and Scott.

After I posted I added IntroParagraph and LastParagraph field which works, I was hesitant because it seems silly to duplicate info in every training record.  I also created it using Labels (form some reason the warning triangle saying it wasn't associated with a control made me think I wasn't using it right.

I also watched the vid on sending an email with data in the body (not simply as an attachment). That might be what I want to do with this, but I don't know VBA and only copy/paste what RR does :-)  How do I code it so looks kind of like this: (I'll look for a VBA video also)  Thanks again for your previous help!

     This is the generic intro paragraph followed by the relevant fields.

          Date: OnlyDate
          Topic: CourseTitle
          Main Contact: FirstLastCombo

     This is the generic sentence at the end of the email.

You could store your 2 paragraphs in a separate table and use DLookup to insert them in the appropriate place(s) in your emails. This way you only store them in one place.

I agree with Kevin
  AND if you need to make a change - there is only one spot that you have to change it.  instead of bunches or records.  The other advantage is it will take up less space.

Check out the Letter Writer video one more time.  That showes how to tore little bits of info that you want to insert.
