Reports used as a How To
Timothy Andros

I have built a database for work and want to provide a "How To" or "Directions" for people who are not savy with using Access, and can use this "How To" to help guide them through some of the features in the database.  I have thought about using a blank report with a few text boxes that give a few tips on how to perform some of the functions such as "How to add an employee" or "How to remove and employee" along with a text box that describes the color key to the conditional formatting associated with dates. I thought that this being in a report format, it could be printed out and used a standalone reference.

Does a report need to be associated with any data (table/query) to do this?

Thanks!!

I ran into this.  On certain fields in a form, I created "event procedure" on the field's Double Click property that would open up message boxes with instructions on what to enter here. Also, you can create little buttons with a "?" logo next to the fields that opens a message box. Hope that helps.

What's wrong with a word document? A database is designed to store and report back on records. Designing a publication is words department!

Also Dan is correct.  What you should do is "document" the database using Word with screen grabs and text below the screen grabs.  If you have a newer version of Windows, it comes with a "Snipping" tool that lets you grab just regions of the screen and save them as images for later use when documenting your database.  Try holding the Windows key + Shift key + S

I would also add a link to a youtube video where a person shows how to do it. Much faster to watch a short video than read a 100page document

Could use powerpoint and do step by step if you want to get really creative. Since the transitions are timed, might make it more fun than a simple document!

If you need to store your How To Manual in Access I would store the information in a Table. This will make it a simple task in the event it needs updating at a later date. If you were to use a blank report and hard code the data you would need to go into the design of the report to make any updates. If you store the data needed for the report you could also build a form with admin privileges (password protected) for any updates needed for the manual.

I built a quick example for you to check out (see screenshots below).

The first image shows my tables and query.
The second image shows my report.

What version of Windows are you running?  If for some reason, WIN+shift+s didn't start the snipping tool, just type snipping into the windows search on the bottom left.
