Forms sharing fields
Julie Davis

I wanted to insert a couple of fields from one form (my "post" form) onto another form (my "comment" form) so that when I typed in the the PostID number in the comment form it would automatically show the shared fields on my Comment form rather than having to type them in repeatedly.  I thought I figured it out because it worked beautifully on my comment form.  However, later, I found that my post list form and any thing that shows all my post entries (there are 66) will have the author field blank and the group field blank.  All the rest of the information is there.  Does anyone know why this would happen?

I've tried redoing the forms, queries and even reports and they all have the same fields blank when they weren't blank before.  Clearly I did something wrong.  Any help is appreciated.  If it's easier to just tell me how to insert a field rather than try and trouble shoot where I went astray, that's fine too. Thank you.

It's not very clear what you're trying to do here, Julie. Can you share the two tables involved, and a screenshot of your form in design view

Hi.  I will try to explain this.  Hopefully I can attach my comment form and my post form.  I wanted to have the PostAuthor field, the PostDate field and the group field automatically propagate when I typed in the number of the post (PostID).  I got it to work by adding existing fields from the PostT into the CommentT.  It works as I wished.  However, now my PostListF shows 2 fields as blank on all of the entries (66 in total).  So clearly, something I did to add the PostT fields to the CommentF messed something up because my post list form didn't have blanks.

Julie,

Again, please share the post table structure and the comments table structure. Your description of the problem is good. However, we need to know how these tables are related to each other. I think I know, but I want to make sure.

Also, have you checked the data in the table? Not on the form to make sure it's not a form problem

Oh.  Sorry.  I misunderstood you.  Here are the design views.  I think that's what you need.

As for the data in the table, I'm not sure I understand what you mean.  Do you mean the authors and groups show up unlike in the list form?  If so, yes.  They show up in the regular post form.  it is only blank when I try to create a list such as the list form above, a query or even a report.  They all have the author and group blank.

Julie, the two-table definition. Double click on the table itself and show the design view.

Are you referring to the PostT referenced in the CommentWithSubF?

Thank you for that. What about the Comment table. The same please.
Basically, I have been trying to understand the relationship between a post record and comment records

To be honest, I have more than one comment table.  I had made some changes while watching the expert tutorials and didn't want to mess one up by accident.  Unfortunately, I don't remember which one I used so here are both.

The last one wasn't expanded enough - so here is that one expanded to show all fields.

On the one hand, you don't have to include information on the child records, which I assume from your comments that you can just look up from the parent record. You don't have to keep typing in the same data over and over again, nor should you if you want to know details from the post table. You can just refer to it or use a lookup table for it or include it in the query or Dlookup. There are a million ways you can look up that information.

On the other hand, if you do want it to propagate down into the records on a subform, you can just use the default value property, but you have to make sure you refresh the parent record first. I actually have a video on something similar to this coming up soon, so hang in there.

I understand what you're saying.  I can try removing those fields from the comment form and hopefully my post list will work again.  But if not, I am hoping for tips on how to get the post list to not have blanks.

I think I've narrowed the problem down.  I am going to start a new inquiry as it is a different issue.
