Using a Sub Form in 2 Different Forms
Amir Ouranus

Hello,
I have a database with 2 Tables; an Agent Table, and a Staff Table. I have split up these 2 Tables because Agents have different information than Staff. I have made a 3rd Table for a Phone List. I wanted to create just 1 Table for the Phone List because I want all the phone numbers in one Table.

The question is; can I create a Form based on the Phone List and use it for both the Agent Form and the Staff Form; which are based on the Agent Table and Staff Table respectively?

What I really want to do is to create a Phone Sub Form based on the Phone Form and use it in the Agent Form and Staff Form.

Please advise and thank in advance for your help.

Amir.

Hi Amir,

Yes, you can create 1 phone form to use as a sub form in both the Agent Form and the Staff Form.

Your Phone table would need to either have two foreign key fields (i.e. AgentID, StaffID, replace these with the names of your primary key fields from each of your tables).

Then, after you've created your Phone List form, you could drop it into either of the other forms and Access should automatically create the needed links to ensure that it's only pulling the correct records for that form.

The Link Master Fields video will show you how to adjust the properties of your subform if needed.

Hi Amir, I would encourage you to make 1 table. Some fields are most likely common. Don't worry about the fields that are not common - just include them . Having 1 table will solve many problems as you continue.  John
