Booking Parties this Session

I am building a database for a skating rink. We have sessions (public skating times) and parties (usually birthdays during a session).

I made a form that lists the sessions available and a button to book a party. That opens a party information form and a sub form which lists all the parties already booked for the session (so we dont over book).

It opens great and shows all the parties booked in the session, but I would like the book information part of the form to open blank with the session id entered (right now it opens to the first party on the list). When I go to a new record the list form shows ALL parties and I have to enter the session ID in the party book information form.

So again, I want the party book information form to start with the Session ID entered, but blank and ready for a new record when it opens. ALSO, I want to STAY on that session until I close the form (and enter several parties if needed or look through and edit parties in this session Plus print reciepts from this form).

I want to have to close the form and choose a new session from the previous form to change the session.

Not sure if this will help, but I use requery to clear my entry form, and you could make a save button that enters the data and then requeries to clear the data.

After thinking about it, it would not be bad to have a new button on the party entry form. The form could load to the first party on the list so they could edit the party or print a receipt from that form but the NEW button would open a blank with the session info entered. I think this would be better so we dont have new party records automatically entered every time we open the form. Right???

Sorry I'm having trouble following what your saying, is the "session" a day or is it like an hour time slot? what is the party book information? Can you upload some images of what's going on to get a better picture? You can upload an image in the top right corner of your post. Image Uploads

A session is a 2-3 hour skating time. People pay to get in, rent skates, eat snacks and play video games and then leave when it is over. You can book your party during most sessions. For your party you get a table, choose hot dogs or pizza, you can add gift bags or not. All this is on the party form with prices. We only have so many party tables so sometimes the session is full, which is why we need a party list. Every party is booked during or with a session so the session table holds the date, time of day, day of the week, I dont want to enter that info again so I put the session ID in the party table. I want to deal with one session at a time so they dont get confused when it changes sessions or lists ALL the partise.

I would have a continuous form with a list of available sessions. As I understand it, this would be like:

Mon 9a-12
Mon 12-3p
Mon 3-6p
Tue 9a-12
Tue 12-3p
Tue 3-6p
etc.

Now, from there pick a session and that will open a SINGLE form with just that session. On that form, put a subform for your parties. Again, a continuous form listing the parties in that session. SessionID foreign key.

If you want to create a NEW party, just make an ADD button in the footer of that form to go to a new record. You could even open this up as a new single form.

This would be very similar to the way I handle Customers and Contacts.

That is pretty close to what I want. The session would be a particular session ie. Saturday morning August 14, 2021 11am-2pm. And the form I want to open is a single party with a list of parties. I got that part easy and can edit the parties already on the session, but if i open a new party the SessionID field is blank and the party list goes to ALL parties in the database.

I want to limit it to a single session. I want to make it so they can edit or ADD parties to that session ONLY and have that sessionID enter automatically in ALL new records until they close the form. If they want to enter a party in anotehr session they need to start over and choose another session.

I will go back and look at the customers and contacts class. I dont remember it staying on a single customer.

To get the SessionID in new records, you need to add a Default Value. It is located in the Data tab of the Property Sheet.
