FormSubform Saving
Dan Mockler

Hello,

Does anyone know how to handle accidental record creation on forms? I have a Purchase Order form with a sub form for the line items. I can't think of a way to suppress saving of records until the person is sure they have everything filled out appropriately and want to create the record. I am afraid that people are going to accidentally be creating a significant amount of incomplete records and we will have to "clean up" the records regularly.

Thank you in advance!

My apologies if this has been covered. I couldn't find a search feature for forum subjects.

That is a pretty broad question but here goes.
Searching: Big red bar at the top right.  The Search box and Search button.  Also click the More drop down and Choose the Access Index.  When there press Ctrl-F to find key words or phrases.

There are a lot of ways to validate the info in a field.  You can also require information in a field.
There is a ton of info here but I honestly don't recall a "single" video discussing the topic.  It's kind of spread out through out the Courses, TechHelp, and FastTip videos.

The greatest control you will have is once you reach the point of developing your own instructions to Access (Programming in VBA)
I don't know your level of knowledge with Access or even other programs prior to coming here but I really recommend the TechHelp membership. Then take the courses 1 by 1 in order.  Also consider the Learning Connection or MYOLP. That will get you the best bang for the time spent. Up to 50% off.

Thank you for the response. I didn't think it would be that straightforward, but thought I would post here to see if there was something obvious I was missing. All the usual tricks to delay creating a record in a form go out the window when you have a subform. I felt validation might be my only option, but didn't love it. That or add in a delete button, but that can be scary as well.

Being newer to Access, I was just surprised how tricky it can be to avoid accidental record creation. Is there any option to pay for advice on a topic like this? I have done around 3 weeks of searching on this topic and would like to just speak with someone that knows their stuff.

Thank you for the search tip.

Take a look at BeforeUpdate . If you check with a before update event, you could prompt the user and verify that everything is correct or you can cancel the event.

You could also make a field required. That would prevent the record from being saved if it's kissing a value.
