access help

Hey Richard and guys my access database is working great. MY assistant has shown me that there are extra records in there that doesn't have an ID or the persons name. It's saving extra records with no data in it. I looked for any information on how to prevent that. I only saw 2 videos and used them but still is saves blank records. How can i prevent it from saving blank records?

How are you controlling data entry?

We have a form that the people fill out and they press save, the name, date and shift are auto inserted, then we fill in the rest as we need to then we save it to the table.

What does the 'save' button do?

This is the VBA code we use to save our form when filled out.

DoCmd.RunCommand acCmdSaveRecord
DoCmd.Close acForm, "PrayerCounselingLogF2", acSaveYes
DoCmd.OpenForm "PrayerCounselingLogF2", acNormal
DoCmd.GoToRecord , , acNewRec

Is the ID an AutoNumber?
How is the missing name usually populated?

No the ID is not an autonumber that number is for our people to identify who took what call. I am trying the VBA code that Richard put together in the video "disable auto record saving". Now i have to wait for a couple of days so when people fill out the form and save or delete it, hoping it doesn't save blank records. Just the ones they save.

Can the close the form without clicking save?

Hi Mark, the "disable auto recording-saving" video merely gives the user the option to save or not save.  The user may still opt to save blank records.  You need a way to forbid the user leaving blank fields in a record.  This can be done with the form's BeforeUpdate event.  You write VBA code in the event to check if the required fields are blank or not, and alert the user accordingly.

Hi Alex the answer to your question, yes people can close the form without clicking save. I am trying to disable that and have a popup to use the exit button, but th4ey go to the X on the top right to close the whole database itself, i remind them to use the exit button.
Kevin, as I watched Richards video it did show to put the code in the BeforeUpdate event. Now, yes i need to write VBA code to check the required fields and alert. I am still watching the videos as I can. I also have a friend of a friend to help with VBA coding. Thanks guys.
