Reports

I work for a company that does automotive and RV repair. I have created a report similar to a continuous form that lists all open repair orders and their tasks (each repair order can have unlimited tasks) that will be displayed on my main dashboard form. I have the report grouped by the repair order # and each task is listed underneath in the details section. I am trying to create a button that will expand/collapse the details section for just that record, but I can only get it to do all the records. Is it possible to do this for one record at a time?

What happens when you click on the + all the way toi the left?

Hi Tiffany
move the detail section of the Form to a subform (A form that has the same information with no header)
then place the subform in the main Form. Access will give you an error saying you can't have a subform in a continuous form, ignore it and change the"Default View" back to continuous view.

remember to link the subform Link Master Field and Link Child field under Data tab (it should be OrderID)

now you need some VBA to make the"+" button make the subform property visible.

Good luck

Hi Tiffany,
I think Sami's advice is on the right track. It appears to me that you need an OrdersT and an OrderDetailT where the ordersDetail is the subform. You seem to be in a Report trying to do what could be done in a Form.

The + all the way to the left is the button I'm trying to get to work. I do not want the subform in the footer, I want the order details under each order. That is why I am doing it as a report displayed on a form.

Hi Tiffany, you can do this on a form.  Just create a main form/subform combo as you normally do.  Then set the main form to appear as a datasheet.  When you open this "main form," you will see the plus sign (+) next to each record, which you can click to open (or collapse) the related detail child records.  This expanded section is called a "subdatasheet."  See pictures below for how it would look.

You can't do it on a report anyway, because the footers can only be formatted one way for the entire report -- if the footer is set to be 1" tall, it will be 1" tall for all instances of that footer.

I never thought of using Datasheet in any production DB, but what a brilliant and elegent solution in this case.
Thank you for teaching me something new every time you post an answer.

Hi Sami, you're welcome as usual.  Subdatasheets are one of Richard's "evil Access stuff," however.  He prefers proper subforms to show such info.

true
But you have shown that they have their uses.
