Select Records shown on Report
David DeCourt

I have a database I am building to record traffic stops I make working drug interdiction on the highway. I later print out a list of the stops made to a WORD RTF to include in a document of activity on a government form.   I only want records with a check box field-[ToPrint] that is checked to show on my report. Right now, I have those selected records appearing first based on groups and sorting in the report that seems to get them in order based on the case number, date, and stop number.; it feels like I'm so close. The records without [ToPrint] = false now are listed after the Records that =true. is there a way to exclude the [ToPrint]=false records so the report only shows the ones I need to print.

I may not be understanding your problem... why not create a query with all the relevant fields plus a field for [ToPrint] = TRUE then build a report based on that query?

David Burns is correct, run your report from a query that selects and filter your records as want them.

When I first tested using just the report and sorting on the check box, I had it working using just the group and sorting in the report. I recreated the database, and for whatever reason, I can't figure out how to get the ones not checked to just not show up. Somehow It was working before. I will go see if I can make the query work. Thanks.,

So, I figured out that if I just put the check box field as the filter and then the filter on load, it gives me just the items selected to print. It gives me what I need and gives me more time to go learn Queries because I'm so confused. lol. Next will be to make a form and query to enter a date or date range to select records to print.

Thanks for the replies.

Go through the Access Classes from the beginning to the end.  I knew Access for 12 years, but always struggled to truly understand it. Now that I have finished all the courses, I have far better understanding of it and my DBs I am creating are way better than I thought I can produce.

Good Luck
