IntroIn lesson 2 of my Microsoft Access Beginner series, you will learn how to work with table field properties, set up indexing, and use searching, sorting, and filtering in both tables and forms. I will show you how to create queries with multiple criteria, set up parameter queries, build an employee table and form with a picture field, add combo boxes and list boxes, copy records, and use basic command buttons. We will also cover generating mailing labels for customers, creating lists of customers with missing data, and using the compact and repair feature. This is lesson 2.TranscriptWelcome to Microsoft Access 102 using Microsoft Access, brought to you by my online learning partner.com and 599CD.com. I am your instructor, Richard Rost, and if you have questions you can email me at Richard at nyolp.com.Let's go over the objectives for today's class. We're going to start off by covering table field properties. We'll talk about indexing. We'll teach you searching, sorting, and filtering in tables and forms. We'll go over multiple criteria and queries. We'll show you how to make a parameter query where your user can type in the parameter before the query runs. We're going to create an employee table and an employee form. We'll show you how to use a picture field to put a picture of your employee in your database. We'll create a combo box and a list box to select an option from a list of values. We'll teach you how to copy records. We'll go over a basic command button. We'll create mailing labels for customers without missing data. For example, we won't show them if they're missing the zip code. We'll also generate a list of customers with missing data, so the secretary can call them all. Finally, we'll go over compacting and repairing your database. Prerequisites: This class follows our Microsoft Access 101 intro to Microsoft Access class. We strongly recommend you take Access 101 before taking this class. We will be using the database that we built in Microsoft Access 101 to continue on in this class. A copy of that database should be included with this lesson. We'll show you how to get through it in just a few minutes. In this class, we'll be using Microsoft Access XP, the 2002 version, and Windows XP. However, this lesson is valid for every version of Microsoft Access and any version of Windows. While you're watching this course, we recommend you sit back, relax, and watch the entire course the first time through. Then, watch the lessons a second time through, following along with the examples. Do not try to apply what you learn immediately. Do not try to take what you're learning in this class and immediately build your own database. Go through, follow along with me, and try the examples that I give you. Then, when you're done with the course, apply it to what you're doing with your database. See if you can take a step back from what you're working on and look at the database from a different perspective. QuizQ1. SummaryToday's video from Access Learning Zone focuses on Microsoft Access 102, where I will guide you through a range of essential database skills that build on what we covered in Access 101.First, we will take a closer look at field properties in tables. Understanding how to set these properties correctly can make your data more reliable and easier to manage. I will also cover indexing, which helps your database find and sort information more efficiently. Next, we will cover how to search, sort, and filter information in both tables and forms. These skills are crucial for finding exactly what you need in large sets of data. You will also learn how to use queries with multiple criteria to narrow down your results. I will show you how to set up parameter queries so that users can supply their own search criteria before running a query. During the lesson, you will create an employee table and a corresponding employee form. We will add a picture field so you can store photos of your employees. You will learn how to use combo boxes and list boxes, which let users pick from a defined list of values. I will show you the process of copying records and demonstrate how to create a basic command button to automate simple tasks. We will also cover how to generate mailing labels for customers. The labels will automatically exclude customers who are missing crucial information, like their zip code. Additionally, you will learn how to make a list of customers with missing data so your office staff can follow up with them. Finally, it is important to keep your database healthy, so I will show you how to compact and repair your database to keep it running smoothly. If you have not yet completed Access 101, I strongly recommend you do so before starting this lesson because we will be using the database that we built in the previous class. A copy of that database should be included with this lesson, and I will show you how to get it set up. For this class, I will be using Microsoft Access XP, also called the 2002 version, as well as Windows XP. However, all of the skills and concepts we discuss are valid for any version of Access and any version of Windows. As you watch, it is best to go through the course one time just to take it all in. After that, go back through and follow along with the onscreen examples in each lesson. Avoid the urge to immediately apply what you learn to your own databases. Instead, work through my examples first. Then, after you have finished the course, use what you have learned to improve your own projects. Try to step back from your work and look at your database from a new perspective after mastering these new skills. You can find a complete video tutorial with step-by-step instructions on everything discussed here on my website at the link below. Live long and prosper, my friends.
