Import pst file into Access Database
Eddy

11 years ago
Hello Rick,
and all other great people on this forum.

A colleague has a 3.8 GB Outlook data file. The company we work for doesn't allow to import such larch pst files (max is set to 1 GB).

Is it possible to import this pst file into an Access Database without losing the attachements, and if so, how to do so.

Thanks for your time

Eddy

Reply from Alex Hedley:

You could try splitting it. (I'd make a backup before doing this)

Open the Archive dialog.
Outlook 2007 and previous
File-> Archive…
Outlook 2010 and Outlook 2013
File-> Cleanup Tools-> Archive…
Select: Archive this folder and all subfolders
Click on the top level folder to select the entire mailbox rather than the currently selected folder.
Set the “Archive items older than:” date to the 1st of January of the year after you want to create your first archive for. So if you want to create your first archive for 2011 and previous, set the date to the 1st of January 2012.
Optionally, check the option: Include items with “Do not AutoArchive” checked.
Specify a name and a location for your pst-file for 2011 and previous. Make sure that this is a location on your local computer and not a network share.
Example: D:\Documents\Outlook Files\2011.pst
Click OK.

Compact the original afterwards
Open the Data Files tab or dialog.
Outlook 2003 and Outlook 2007
File-> Data File Management…
Outlook 2010 and Outlook 2013
File-> Account Settings-> Account Settings-> tab: Data Files
Double click on the pst-file or ost-file that you want to shrink.
Click the Compact Now button.
