Running Totals in Access
Susan

16 years ago
Have an Access database with demographic information, including vouchers paid and what fund it came out of.  Have an Excel spreadsheet with vouchers paid,what fund it comes out of with a running total left in the fund (like a checkbook).  How do I get Access to do the running totals.  I don't know where to enter the beginning balance and then have Access automatically do the math.  This needs to be done in real time.

Right now there is duplicate information being entered-voucher number, client name, date of payment, what company received payment, and the amount of the payment in Excel and the same in Access.  Want to combine and use just one application.

Answer from Richard Rost:

Here's a tutorial that shows you how do show a running total in a REPORT:

To get a running total to show up in your forms, it actually requires a bit more work. I answered a question about how to do this in my Blog a while back:

Let's say you have a table (Table1) with two fields: Price (currency) and ID (Autonumber). You could add a calculated field to a Continuous Form with the following control source:

=DSum("Price","Table1","ID<=" & [ID])

This will add up all of the Price values for records where the ID is less than or equal to the current record - essentially giving you a running total.

It won't run FAST, but it will work.
