Access How to Autofill Data in a Form
Thomas Curcio

Hello Richard,

Im not a member, but currently a subscriber to your YouTube channel. I have a question for you, and expect that you have probably already answered this for another subscriber or member.

I have an Access O365 database that I created. Its basic, but its starting to fulfill other needs and growing.

I have two sections on the data entry form that I would like to auto populate when I select the requested information from a drop-down option.

One table is a Projects table and another is for Vendors.  These options are required fields in the database/form and rather than pull from several different tables, or key the data manually for each field. I would like to use an autofill option to pick from a list, and have the information populate to all the corresponding fields to compete the redundant entries.

In the Project Table I have the Project Name, Start Date, and Project Manager.
In the Vendor Table I have the Vendors Name, and the Vendor Project Manager.

Each of these entries are separate on my form, so when I pick the Project or Vendor, Id like the information to fill the corresponding fields in the form.

Each record is unique, so we will have many entries related to a project and a vendor but with unique values.

Could you please point me to the video that will guide me to completing this task.

Thanks very much in advance!

Regards,

Thomas C

First - Welcome to the forum!

I really encourage you to watch the Free Access Beginner 1 or at least the Access in 30 Minutes followed by the Access Beginner 2 for a buck.  Not only will it help you but it will help us help you as well.  If we're all on the same page of music it helps as far as understanding the same terms.  PLUS, Once you have that, you can get an account here as well. It makes it much easier to post questions for assistance.  See the Memberships page for more information.  You also get discounts on the courses (up to 50% off!) depending on the membership you choose.
The TechHelp memberships are a different creature too.  For about the price of a cuppa coffee or 2 from the local barista per MONTH you get access to the extended cuts and or example databases (Gold).  TechHelp Memberships

Enough of that for now.  Ask if you have questions.

On to your question.  Because Access is a relational data base that means you can enter the information once and link it to display in multiple places rather than copying it over and over.  Watch the Relationships video if you don't know what that is.

Watch the Invoicing as an example of how to enter in the information into the forms and tables for later lookup.
New order gets the Customer data.  Then you lookup the items for the order and add them to the order.
Same concept.  Some things are stored so you don't have to re-enter them and to prevent errors. Others are filling in for the new record of the order.

It's important to note here that while there may not be a specific example to your particular need, the methods shown in other videos apply to what you are trying to accomplish.
