Intro In this lesson, you will learn how to build an accounts payable database with Microsoft Access to manage your bills and payments, track vendors, handle invoices including recurring expenses, process payments, and generate key reports like aged payables and expense charts. The purpose of this seminar is to teach you how to build a database using Microsoft Access to manage your accounts payable, whether for your personal finances or for your small, commit-size company.

Most of my seminars and Access classes to date have been focused on the receivables end of the database, which is getting money from your customers and billing.

In this seminar, we'll cover paying your vendors and paying your bills. This seminar will focus primarily on tracking vendors or payees, monitoring your invoices and entering your bills, including recurring bills that can repeat at any schedule you set forth, processing payments for those bills, whether it's just printing out a list of bills you have to pay or actually printing checks from the database, and generating various reports such as an aged accounts payable, expenses between dates, and a chart showing expenses by category.

If you'd like to know more about exactly what's covered in each lesson and what the database does before starting the seminar, skip ahead and watch lessons 57 and 58. Lesson 57 is a lesson summary that will tell you exactly what's covered in each video. Lesson 58 will give you a step-by-step walkthrough of exactly what the finished database will do. I put these optional lessons at the end of the seminar because not everyone's going to want to watch them, and this way they won't interfere with the normal lesson numbering system 1, 2, 3, and so on.

While this seminar does stand alone, and I will cover all the concepts in detail, it is strongly recommended that you have a solid background building databases with Microsoft Access before taking this seminar. You should definitely know everything covered in my beginner 100-level lessons, such as building tables, queries, forms, and so on. I also strongly recommend that you have completed my 200-level lessons covering all the intermediate topics. There will also be some Visual Basic programming in this seminar, so it will be very helpful for you to have taken my 300-level classes as well.

This is a fast-paced seminar, and while I will go over everything in detail, the more you know up front, the better off you'll be.

In the seminar, I will be using Microsoft Access 2010. If you're using 2007, you should find the majority of the information is exactly the same. There are some minor differences in some of the screens, but you shouldn't have any problems following along. Most of everything that I'm doing will be valid for all versions of Access going back to about Access 2000. Yes, the screens will be different and where you click on some things on the ribbon will be different, but if you know how to access build events and create forms and add combo boxes and all the basic Access stuff, you should be able to follow along regardless of what version of Access you're using.

There are just a few minor differences in interface and screen layout. If you are using anything from Access 2000 onward, you should be able to follow along just fine. The main thing is to be comfortable with basic Access features like creating forms, adding controls, and editing events.
