Changing Inventory Locations
Kevin Yip

Things could become tricky when you move inventory locations, because you have to update the location info in your database as well.  If you need to move them often, as was the case in my old job, you really need a flexible system that allows you to make those changes efficiently.  So it's important to set up the right system from the onset.

One strategy is to use "categories" as "locations."  Instead of using "Office," "Bookcase 3, "Shelf 2," etc., as location identifiers, use "fiction," "history," "tech," etc., instead, so that you don't need to update their "locations" whenever you move items.  Fiction items will always be fiction, nonfiction will always be that, etc.  This is how public libraries do it.  When they move anything, they only need to change where each category, not every single item, has gone to.  And that may require updating just one record in your database.  Hence, a location system could just be as simple as the following:

Category       Floor     Location
Biography      2         2A
Children       1         1A
Encyclopedia   3         3A
History        3         3B
Nonfiction     3         3C
Romance        1         1B
Poetry         2         2B
Young Adult    1         1C
Etc.

I have a movie collection of 3000+ movie discs, and I don't use a location system at all.  They are always sorted alphabetically by title, so I can find anything no matter where the discs are located physically -- in New York, California, on the Moon, etc.  If I look for "C", I know it's near the beginning, etc.  Books can be done the same way as well.

Things that have no built-in sorting system could be tricky: clothing, furniture, computer hardware, plumbing hardware, etc.  Perhaps "custom categories" could be used, anything to make an efficient location system possible.

Yeah, that's why, as with all things, the system really has to work around the way you want to handle things in real life. My job is just to show multiple ways to put the pieces together and leave the final design up to the end user.

In the asset management seminar I mentioned in the video, I cover moving assets from location to location, keeping an audit trail, and all that good stuff. It all depends on how complicated you need to make it.
